It looks like each user is responsible for updating the symbol list in each of the data sets including the indexes that are provided when WLP is downloaded--is that correct? If so, what is an efficient process for doing so?

fyi, Wealth-Data provider takes care of that automatically - if you checked appropriate option when creating a DataSet:
